1. Introduction

LandFlow ("LandFlow," "we," "us," or "our") provides a real estate data and land intelligence platform that combines parcel records, ownership information, public records, planning applications, and geospatial data (the "Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

This policy applies to our web application, our iOS mobile application, and any related services that link to it.

2. Information We Collect

Information you provide to us

  • Account information: name, email address, organization, and password (or your Google/Microsoft account information if you sign in with those providers).
  • Content you create: saved lists, notes, tags, uploaded documents, and direct mail campaign details (including recipient mailing lists you provide for that feature).
  • Payment information: if you subscribe to a paid plan, our payment processor (Stripe) collects your billing details directly. We do not store your full card number.
  • Communications: messages you send us for support or other inquiries.

Information we collect automatically

  • Usage data: pages and features you use, searches you perform, and general interaction data, collected through analytics tooling (PostHog).
  • Device and log data: IP address, browser or mobile device type, operating system, and timestamps.
  • Cookies and similar technologies: used to keep you signed in, remember preferences, and understand how the Service is used.

Real estate and public record data

The core of the Service is data about land parcels, property ownership, business entities, and related public records. This information is sourced from county assessor and recorder offices, other government sources, and licensed third-party data providers — it is not collected directly from the individuals or businesses it describes.

For some parcels and entities, the Service may display contact details (such as phone numbers or email addresses) sourced from licensed third-party data providers, to help our customers (property investors, agents, and developers) identify how to reach a property owner. If you are an individual whose information appears in the Service in this way and you are not a LandFlow customer, see "Your Choices" below for how to contact us about that data.

3. How We Use Information

  • To provide, maintain, and improve the Service.
  • To process transactions and send related information, including confirmations and invoices.
  • To send administrative messages, product updates, and — where you've agreed to receive them — marketing communications.
  • To fulfill features you initiate, such as sending direct mail campaigns through our mail delivery partner (Lob).
  • To monitor and analyze usage trends and improve the Service's functionality and performance.
  • To detect, investigate, and prevent fraudulent or unauthorized activity.
  • To comply with legal obligations.

4. How We Share Information

We do not sell your personal information. We share information with:

  • Service providers who help us operate the Service, including hosting and storage (AWS), payment processing (Stripe), analytics (PostHog), transactional email (Resend), and direct mail fulfillment (Lob).
  • Data providers whose licensed public-record and contact-enrichment data powers parts of the Service.
  • Authentication providers (Google, Microsoft Azure AD) if you choose to sign in using those services.
  • Legal and safety purposes: if required by law, subpoena, or other legal process, or to protect the rights, property, or safety of LandFlow, our users, or others.
  • Business transfers: in connection with a merger, acquisition, or sale of assets, subject to standard confidentiality arrangements.

5. Data Retention

We retain account information for as long as your account is active and as needed to provide the Service. We retain public record and licensed data for as long as it remains relevant to the Service, consistent with our agreements with data providers. We may retain certain information longer where required by law or for legitimate business purposes such as dispute resolution.

6. Data Security

We use administrative, technical, and physical safeguards designed to protect information we handle. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Choices

LandFlow account holders can access, update, or delete much of their account information directly within the Service, or by contacting us at contact@landflow.io.

Individuals whose information appears in the Service (for example, as a property owner shown in parcel or ownership records) but who are not LandFlow customers may contact us at the address above with questions about that data, including requests to correct or, where applicable under law, remove contact information sourced from third-party data providers. We will respond consistent with applicable law.

Depending on your state of residence, you may have additional rights under laws such as the California Consumer Privacy Act (CCPA) to know, delete, or opt out of certain uses of your personal information. Contact us to exercise these rights.

8. Children's Privacy

The Service is intended for business and professional use and is not directed to children under 16. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we will update the "Last updated" date above and, where appropriate, provide additional notice.
